Job Description

Position Summary:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our executive leadership team in a fast-paced construction environment. The ideal candidate will have experience in the construction or related industries and will be responsible for managing administrative tasks, coordinating schedules, supporting project documentation, and ensuring smooth communication across departments and with external stakeholders.

Key Responsibilities:

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Assist with project documentation, including RFIs, submittals, change orders, and contracts.
  • Serve as a liaison between executives, project managers, subcontractors, and clients.
  • Organize and maintain filing systems (digital and physical) for project and administrative records.
  • Track deadlines, deliverables, and follow-ups for ongoing construction projects.
  • Coordinate logistics for meetings, site visits, and company events.
  • Handle confidential information with discretion and professionalism.
  • Support budgeting and expense reporting processes.
  • Perform general office management duties as needed.

Qualifications:

  • Proven experience as an Executive Assistant, preferably in the construction, engineering, or architecture industries.
  • Strong understanding of construction terminology and project workflows is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with construction software (e.g., Procore, Bluebeam, PlanGrid) is a plus.
  • Excellent organizational, communication, and time management skills.
  • Ability to multitask and prioritize in a deadline-driven environment.
  • High level of discretion and professionalism.
  • Associate's or Bachelor's degree preferred.
